This Policy explains how Transport Management Solutions (TMS) handles personal information when you use our websites, authenticated portals, and public secure links.

Who we are

Transport Management Solutions operates a fleet compliance and operations platform for carriers and service providers. For privacy inquiries contact support@example.com.

Information we collect

  • Account data: name, email, phone, company affiliation, and role assignments.
  • Operational data entered by customers: driver profiles, license and medical card details, employment history, accidents, road tests, seven-day logs, fleet equipment, and uploaded documents.
  • Billing data: company billing settings, invoice metadata, and payment method references processed by Stripe (we do not store full card numbers).
  • Technical data: IP address, user agent, session tokens, audit and activity logs, and email/SMS delivery logs.

How we use information

We use personal data to:

  • Authenticate users and enforce permissions.
  • Provide carrier, driver, document, hiring, and reporting features.
  • Send transactional messages (invites, reminders, signature links, invoices).
  • Secure the platform, debug issues, and meet audit needs.
  • Process subscriptions and usage-based billing.

Sharing

We share data with subprocessors needed to run TMS (for example hosting, email delivery, Stripe). Customer administrators control who inside their organization can view carrier and driver records. We do not sell personal information. We may disclose data when required by law or to protect the rights and safety of users.

Retention

We retain account and operational records for as long as the customer relationship continues and for a reasonable period afterward to support compliance, disputes, and backups. Soft-deleted records may remain until a deletion approval workflow completes. Audit logs are kept for security and accountability.

Security

We use encryption in transit, hashed credentials, session controls, and role-based access. No method of transmission or storage is perfectly secure; report suspected incidents to support@example.com.

Your choices

Authorized users can update profile and company settings in the application. Drivers and employers using public links can only access the records tied to their token. For access, correction, or deletion requests related to customer-controlled data, contact the customer organization first; we will assist controllers as needed.

International transfers

If you access TMS from outside the country where our servers operate, your information may be processed in another jurisdiction with different data protection laws. See our GDPR page for additional rights where EU/UK law applies.

Changes

We may update this Policy and will revise the "Last updated" date. Material changes may also be communicated through the product or email.
